Platform overview

Five systems most operators buy separately

Dispatch software. Tank telemetry. A compliance filing cabinet. An estimating package. An accounting bridge. ManageSync is all five, sharing one record of the job — which is the only reason any of them stay accurate.

  • Pipeline stages 11
  • Console commands 22
  • Email templates 40+
  • Webhook events 9

Work orders & dispatch

A schedule board and a status kanban over the same jobs, with deadlines the database enforces.

  • Eight-state status model with parallel suspension
  • SLA clocks at 4h, 8h and 72h that pause when you are blocked
  • Drag-and-drop technician board with overlap detection
  • Live technician ETAs from GPS and drive-time
  • Append-only status history

Tank monitoring

A direct TCP link to the Veeder-Root console on the wall.

  • TLS-350, TLS-450 and TLS-450PLUS
  • Polled every five minutes
  • Volume, height, water, temperature, ullage
  • Six alarm types by email and SMS

Compliance

The regulatory file, assembled while the work happens.

  • 0–100 confidence score with letter grade
  • State-specific inspection forms, versioned
  • Guided technician walkthrough wizard
  • Read-only regulator access

Estimating & bidding

Construction-grade estimating attached to a field-service dispatch engine.

  • Eleven-stage pipeline, opportunity through closed
  • Price book with auto-harvested suggestions
  • Supplements, change orders and e-signed acceptance
  • Project cost sheet — budget against actuals
  • Competitive bid rounds across multiple contractors

Invoicing & accounting

Bills that reconcile, and a ledger that never loses a line.

  • Master invoice minted at close
  • Frozen catalog snapshots per line
  • Two-way QuickBooks Online sync
  • PDI CSV and EDI 810 export

API & webhooks

Push work in from your own software. Get signed events back.

  • Public REST API with scoped keys
  • HMAC-signed outbound webhooks
  • Nine event types, at-least-once delivery
  • Published developer documentation
Underneath

The parts nobody demos, and everybody depends on

Permissions, notifications, audit trails and file handling are where field-service software usually falls apart six months in.

Roles & permissions

Array-valued roles across both sides. Admin, Manager, Sales, Accounting, Technician and Regulator on the contractor side; Manager, Assistant Manager, Territory Manager, Cashier and Regulator on the location side. Each role gets its own home screen and a server-enforced route allowlist.

Photos & documents

Four enforced photo categories, client-side compression, HEIC conversion, geotagging reverse-geocoded to city and state, lightbox galleries and bulk ZIP download. Records are archived rather than deleted, with a retention sweep and expiry warnings.

E-signatures & public links

Drawn signature capture on estimate, change-order and supplement acceptance, and on the compliance walkthrough. Tokened links let subcontractors upload photos and customers follow project progress without an account.

Notifications

Per-group channel preferences across seven groups — tasks, work orders, sales, invoicing, compliance and alarms, form submissions, and account changes. Forty-plus transactional email templates with full delivery lifecycle logging. SMS for status changes and critical alarms.

Forms & lead capture

Build a public form, publish it at your own URL, and map fields to CRM records. A submission can create a contact, a service work order or an opportunity.

Trust & auditability

Consent-based staff access with time-boxed grants and page-level audit written to your log. Append-only status events, immutable ratings, void-not-delete invoicing, and an activity log on both sides.
